Duties:
PRIMARY PURPOSE:
Serve as receptionist/greeter/first point of contact, oversee the South Coast Head Start Reception area, and perform other related functions pertaining to the Child & Family Resource Center and South Coast Head Start Program.
ESSENTIAL JOB FUNCTIONS (Reason position exists is to perform these functions.)
- Greet visitors in a professional and personable manner; direct them to appropriate staff.
- Provide information and direct clients and community members to appropriate Head Start and ORCCA Programs.
- Answer questions about organization and provide callers with address, directions, and other information.
- Maintain friendly and helpful attitude at all times.
- Monitor visitor access and issue passes when required.
- Effectively operate multi-line telephone and message systems.
- Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate staff or department.
- When necessary, take complete messages including full name and phone number.
- Open and close facility including check/forward any messages and/or faxes left on phone system, turn on/off various office machines, and unlock/lock front doors.
- Perform various clerical duties including, but not limited to word processing, filing, copying, collating, comb- binding, laminating, data entry, scanning, etc.
- Operate Microsoft Office programs, data-bases, and email system.
- Complete work orders submitted by staff within designated timelines.
- Assist with maintaining adequate office supplies at the front desk/work station.
- Receives, sorts, and routes mail and incoming deliveries to appropriate staff/sites.
- Perform additional duties as assigned.

- Accept suggestions and guidance from supervisor and other management staff

- Commit to further training. Develop an individual training plan using program tools, as appropriate.
- Communicate with supervisor regarding any needed changes or concerns with work schedule.
- Adhere to agency procedures as a mandated child abuse reporter
- Regular attendance is a requirement of the position.

Qualifications:
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- High School Diploma or GED required
- Two years of reception experience preferred
- Bi-lingual (English/Spanish) preferred
- Strong computer knowledge & skills
- Excellent organizational skills
- Excellent communication skills and telephone etiquette
OTHER REQUIREMENTS
- Must be enrolled in the Oregon Department of Education-Child Care Division Central Background Registry at time of hire and update it as required.
- Pediatric First Aid/CPR Certification within 30 days of hire and update it as required.
- Oregon Food Handler’s card or ServSafe® Food Safety Certification within 30 days of hire and update it as required.
- Health Appraisal within 30 days of hire and update it as required.
